This policy explains what information Vantage Coding Solutions LLC ("Vantage," "we," "us") collects through our website, vantagecodingsoltns.com, and how we use it. It covers the website only. Medical coding and credentialing work we do for clients is governed by our written agreements with those clients, including any Business Associate Agreement, not by this policy.
1. Please do not send patient information through this website
Our contact form is for business inquiries only. Please do not enter patient names, dates of birth, medical record numbers, diagnoses or any other protected health information (PHI). If you need to share records with us, we will set up a secure, agreed method first. If PHI is sent to us through the website or by regular email, we will delete it and ask you to use the secure method instead.
2. Information we collect
Information you give us. When you use our contact form, we collect what you enter: your name, organization, email address, phone number, the service you are interested in, and your message. If you email us directly, we receive your email address and whatever you include in the email.
Information collected automatically. Like most websites, our hosting provider automatically records basic technical information when you visit, such as your IP address, browser type, the pages you view and the time of your visit. This is used to deliver and secure the site.
Cookies and tracking. We do not use advertising cookies or tracking pixels, and we do not currently use analytics tools. If that changes, we will update this policy first.
3. How we use your information
- To reply to your inquiry and schedule a discovery call.
- To prepare a proposal, pilot or service agreement you have asked about.
- To send you information about our services that relates to your inquiry. You can ask us to stop at any time.
- To keep the website running and secure.
4. How we share your information
We do not sell or rent your personal information. We share it only:
- With service providers who help us run the website and our business, and only as needed for that work. These include our website host, Netlify, Inc. (which hosts the site and receives contact-form submissions), our email provider, and Google (which serves the fonts used on the site, so your browser connects to Google's servers when a page loads).
- When required by law, such as to respond to a valid subpoena or court order, or to protect our rights or the safety of others.
- In a business transfer, such as a merger or sale of the company, in which case this policy would continue to apply to your information.
5. How long we keep it
We keep contact-form submissions and related emails for as long as needed to respond and to manage any business relationship that follows, and then for up to 24 months unless the law requires us to keep them longer. After that, we delete them.
6. How we protect it
The website uses encrypted connections (HTTPS), and access to form submissions and business email is limited to the people who need it. No website or email system is completely secure, which is one more reason not to send patient information through this site.
7. Your choices
You can ask us to tell you what information we hold about you, to correct it, or to delete it, and you can opt out of any follow-up emails. Email info@vantagecodingsoltns.com and we will respond within 30 days.
8. Children
This website is for businesses and healthcare professionals. It is not directed to children under 13, and we do not knowingly collect information from them.
9. Changes to this policy
If we change this policy, we will post the new version on this page and update the "Last updated" date above.
